Collection Information
The first page of the deposition process is designed to gather information about the entire Collection that you are depositing. This information provided on this page provides the core collection metadata for your submission. As such, much of the information included here will be visible on the relevant archives pages.

Collection Title
Add a unique and descriptive title for your collection. Please note that this may be subject to change when archived. This is a mandatory field.
Example:
“Digital Archive from an Archaeological Evaluation at The Forge, The Street, Bradwell, Essex, October 2020”
Collection Description
Enter a detailed description of the data collection. This will be used as the text on your collection's Introduction page in our archives. This field allows you to enter a maximum of 4000 characters. This is a mandatory field.
Example:
“This collection comprises photographs, a CAD drawing, site records and documents from an archaeological evaluation by trial trenching at The Forge, The Street, Bradwell, Essex. Work was carried out by Colchester Archaeological Trust in October 2020.
The aim of the archaeological evaluation was to record the extent of any surviving archaeological deposits, and to assess the archaeological potential of the site to allow the ECCHEA to determine if further investigation is required. A trial-trench evaluation of 2 L-shaped trenches uncovered 6 ditches, 4 undated and 2 post-medieval in date. F1-F3 in T1 are continuations of F4-6 in T2.”
Collection Overview
Enter a comprehensive overview of the data collection. This information could relate to the wider context of the collection or the methodologies used to collect the data. Here is an example from our archives. The text entered here will be used on the Overview page for your collection on the ADS website. It is not mandatory to include a Collection Overview but it may be useful for larger or more complex collections. This field allows you to enter a maximum of 20,000 characters.
Collection Reuse Statement
Please provide details about how your collection could be reused by other researchers. Please consider whether the data you are depositing may have value to other researchers and could be used in different ways than was originally intended. You may wish to highlight how your collection could serve researchers in other disciplines, how it could have an impact on a particular community or if your collection captures something rare or unique. It is not mandatory to include a Collection Reuse Statement but it can help maximise the impact of your collection and attract interdisciplinary interest. This field allows you to enter a maximum of 20,000 characters.
Data Creation Start Date
Enter the date when the first digital item in your collection was created. This may coincide with the start of fieldwork or a research project. This is a mandatory field.
Data Creation End Date
Enter a date when the last digital item in your collection was created. This may coincide with the end of fieldwork or a research project. This is a mandatory field.
Language
Please select the primary language used in the content of your collection. English will be selected as default. Multiple languages can be selected in this field. To remove a selection, click the ‘x’ next to the name of the language.
Parent Collection
If your collection is part of a larger existing collection, such as a museum collection, please select the name of the parent collection that your collection should be associated with. Please contact Helpdesk if you can not find a relevant Parent Collection on this list or if you wish to discuss creating a new Parent Collection.
Existing Tracking ID
If you have previously contacted the ADS or HSDS for a quote and were issued with a tracking identifier please enter it here so that we can reconcile our records.
Embargo Date
If you would like your collection to be restricted on a temporary basis, please select a date after which you would like the collection to be publicly available. Please note that the length of the embargo period agreed with the ADS or HSDS will depend on the sensitivities of the data involved.
Access Licence
Please select the type of access licence that will determine how your collection can be shared and reused. This is a mandatory field. The ADS and HSDS strongly advocate making data as widely reusable as possible through open, permissive, re-use licences.
In the majority of cases, this will likely be a Creative Commons CC-BY 4.0 licence, which allows others to share and adapt our data as long as they provide you with the appropriate credit.
If your project has been funded by the UK Government (e.g. HS2) you will likely need to make it available via an Open Government Licence.
